Village Council seeking proposals for website

The Cocoanut Grove Village Council is looking for a vendor to redesign its website.

The objective of the website is to provide information to the public regarding the Village Council’s activities and regarding the various issues that are relevant to the residents of Coconut Grove. It is also the Village Council’s desire for this website to allow for input from citizens on topics that are being considered and to become a vehicle for communication with the community, both through the information contained in the website, through the generation of a database that will allow for email communication to all residents who sign into the database and indicate a desire to be informed about community events and issues, and through a discussion page that allows residents’ input regarding issues to be posted and displayed on the site.

The vendor will have the following characteristics:
In business for 2 years or more
Located in Coconut Grove
Able to show a minimum of three other websites done previously for other clients

The site should be template driven so that Council members may easily update the site and make changes with password access and without the need to utilize the services of the developer for updating and revisions to the website.

The public section will be viewable by all and should include (but not limited to) the following components:

1) A home page that has a calendar and a place to highlight current issues and events in a visually compelling way.

2) A page with the name, a photograph, a short bio and contact information of each member.

3) A calendar of events which may support links to other websites or to documents uploaded to the website about the events on the calendar. For example, a viewer could click on a meeting entry in the calendar and see the agenda for that meeting. This is not essential but would be a nice element to the site.

4) A place for the Village Council to list links to other sites residents may find helpful.

5) A form that will request information provide us a contact list and email distribution list. The request form should gather name, address, telephone, and email contact info and should have a check box for residents to inform us if they want to receive email from the Village Council.

6) Tabs that will take the reader to pages to be dedicated to issues. Residents’ comments can be solicited and viewed on the page in the order they are received. An issue page should be able to support links to documents (digital images as well as possibly audio mp3 files) uploaded to the site for viewing by the public.

7) Links to the various social networking sites the Village Council is connected with.

They would like to know how much you will charge to develop the website, as well as the monthly cost for website hosting and any other monthly charges that would exist if they choose to work with you.

Submission deadline is December 6. Proposals will be reviewed at the December 8 meeting, which is at the Coconut Grove Sailing Club from 7 to 9 pm.
